Sales & POS

Using the POS system

Learn POS sales, cashier settings, the customer display, checkout methods and register funds from opening a shift to closing counts and history.

Create a POS sale

  1. Open POS

Choose Open POS from Home or POS from your store navigation. You need permission to record sales, an active product with available stock and an enabled checkout method.

  2. Find the product

Search by product name, SKU or barcode, or choose a category to narrow your catalog. Active products with stock are available to sell.

  3. Choose your product

Select the product card. A product with one variant goes straight into the sale. With several variants, Choose options opens first.

  4. Choose the variant

Select the variant you are selling and check its price, SKU and available stock. This example uses Default at 12.00 USD.

  5. Add it to the sale

Check the quantity and choose Add to sale. You cannot add more units than the available stock.

  6. Open your current sale

On a phone, choose View sale to review the cart. On desktop, Current sale is already beside the catalog.

  7. Adjust the quantity

Use the plus and minus controls to change the quantity. This example adds a second mug for a total of 24.00 USD.

  8. Review the sale items

Check the product, variant, quantity and line total. Remove takes an item out of the sale. On a phone, Add more products returns to the catalog.

  9. Review the customer

The sale starts with Walk-in customer. Select or add on desktop, or Change on a phone, opens the optional customer choices.

  10. Explore customer choices

Keep Walk-in customer for an anonymous sale, Select a customer to find someone saved, or use Quick customer to add a name and optional phone number.

  11. Keep this a walk-in sale

Choose Walk-in customer to continue without personal details. Adding a customer is optional.

  12. Check the final total

Review subtotal, optional discount, tax from your store settings, shipping and total. This example has no discount, tax or shipping, so two mugs cost 24.00 USD.

  13. Continue to payment

Choose Complete sale on desktop or Continue to payment on a phone. Both open Collect payment with the amount due.

  14. Choose the payment method

Choose one of the store’s enabled checkout methods. This example uses Cash. ABA / KHQR appears when enabled; confirm receipt in your receiving account before recording another payment method.

  15. Enter cash received

After receiving the cash, enter an amount that covers the total. This example receives 30.00 USD for a 24.00 USD sale. An insufficient amount cannot be recorded as a paid cash sale.

  16. Check change due

Change due is 6.00 USD. Give the customer the correct change. If a register shift is active, select its Register cash wallet and use the amount due in that wallet’s currency.

  17. Record the received payment

Once you have received the cash and checked the change, choose Done — payment received with the displayed total.

  18. Wait for the sale to save

Recording sale… appears while saving. If saving fails, the sale and payment details stay on screen so you can review the message and try again.

  19. The paid sale is saved

Sale complete confirms the sale and received payment have been recorded. The receipt is ready to review.

  20. Review the receipt

Check the receipt number, customer, payment method, product, quantity, total, cash received and change. This example is ORD-000001.

  21. Print the receipt if needed

Print receipt opens the browser’s print flow for the saved sale receipt. This illustration does not print anything.

  22. Open the saved order

Choose View order to open the order details for this sale. Start new sale on a phone, or Close on desktop, returns to POS.

  23. Check the recorded order

The order details show the saved POS sale, paid status, product and totals. Your first order is complete.

Everyday POS actions

Finding products and scanning

Search by name, SKU or barcode and filter the catalog. Scan barcode accepts a connected scanner or entered SKU. Find product applies the search and returns the category to All. Clear the search field or choose All to remove filters. Previous and Next appear when results span more than the configured page size.

Selecting and adding customers

Use a saved customer, quick customer or walk-in sale. Open Select or add, or Change on smaller screens. Select a customer searches saved names, phone numbers and emails. Quick customer requires a name and supports an optional phone number. Add customer saves and selects it; Walk-in customer keeps personal details optional.

Custom sale items

Add an item that is not in the product catalog. Custom item opens Item name, Price and Quantity. Use a name, nonnegative price and whole quantity of at least one, then Add item. The line belongs to this sale. It does not create a catalog product or a stock record. Cancel leaves the sale unchanged.

Discounts and totals

Apply a percentage or fixed discount and review the total. Open Discount on smaller screens, then choose No discount, Percentage or Fixed amount. Percentage values are limited to 0–100. Changes update the unsaved sale immediately. No discount restores the original total; tax follows the store’s configured tax settings.

Current sale and New sale

Adjust lines or reset an unsaved sale. Use plus, minus or Remove on a sale line. Catalog quantities respect stock and cannot fall below one. Clear clears the current lines. New sale asks for confirmation when items are present. Keep sale preserves the draft; confirming New sale also resets customer, discount and payment details. Saved orders are not deleted.

Digital checkout methods

Record a payment received through an enabled checkout method. Open payment and select an enabled method, such as ABA / KHQR. Its saved payment image appears when configured. Confirm the received amount in your receiving account before Done — payment received. A QR image or customer display does not verify a transfer.

Reprinting the last receipt

Review and print the latest recorded sale receipt. Print last receipt becomes available after recording a sale. It opens the saved receipt for review and printing. Print receipt opens the print flow; View order opens its saved order. Close or Start new sale returns to POS.

Cashier and customer views

Cashier display settings

Arrange the product catalog for the person operating the counter. Choose the settings icon beside the POS categories. Category display can scroll horizontally or wrap onto multiple rows. Choose one to six products per row, with up to two columns on small screens, and 6, 12, 24, 48 or 96 products per page. Changes apply immediately and save in this browser. They also sync to your account for this store, so the preferences are ready on your next login on another device. Close dismisses the settings; an account-sync error keeps the browser settings and offers Retry account sync.

Setting up the customer screen

Open a view-only second screen for customers at the counter. Customer display is included on Mid and above. In POS, choose Customer display, then Start customer display. The view-only link lasts 12 hours. Copy link or Open display lets you place it on the second screen, where Full screen is available when the browser supports it. The customer screen follows the live cart, payment instructions and saved receipt. It cannot change cart items or record payments. The illustrated link is a placeholder; the animation opens, copies and publishes nothing.

Live cart, payment and receipt

Follow the cashier’s sale on the customer-facing display. Open Customer display from POS and review the connected screen. Products and totals update as the cashier builds the sale. At checkout, the selected method’s saved payment image appears, including ABA / KHQR when configured. Cash methods instead ask the customer to pay the cashier. Verify receipt of the money before choosing Done — payment received in POS. A payment image does not automatically verify payment. After the order saves, the customer screen shows the confirmation and receipt, with Print receipt available. A paused connection shows a waiting message and hides the payment image until the cashier reconnects.

Stopping and restarting the display

End the current link and prepare a fresh screen when needed. Open Customer display from POS and choose Stop sharing. The old link no longer shows the live cart, and the second screen asks for a new link. Stopping sharing does not cancel the sale or remove a saved order. Choose Start customer display again to create a fresh view-only link, then open it on the customer screen. Each link expires after 12 hours. These guide controls only demonstrate the flow and do not create, stop or share a real display.

Register funds and shifts

Opening a register shift

Name your shift, count opening cash and set currency wallets. Open Register funds from POS. Mid or above and store manage permission are required to open a shift or move cash. The main store currency is fixed at a rate of 1; additional currencies use the units per main-currency rate entered when opening. Count physical opening cash in each wallet’s own currency. This example opens Morning shift with 50.00 USD and 200000 KHR at 4000 KHR per USD. Rates and currencies remain fixed for the shift; orders and reports stay in USD.

Recording cash in a shift

Choose the cash wallet, receive payment and check the recorded balance. Check your active shift in Register funds, then return to the sale and Continue to payment. With Cash selected, choose Register cash wallet. The amount due and change use that wallet’s currency; the order remains in the store’s main currency. At the example rate, 24.00 USD is 96000 KHR. Receive 100000 KHR, give 4000 KHR change and record payment received. Register funds then shows the KHR balance increasing from 200000 to 296000; the USD wallet stays at 50.00. Cash sales and refunds are recorded automatically.

Adding or removing cash

Record a physical cash movement with its required reason. In an active shift, find Add or remove cash. Select Add cash or Remove cash, choose an existing cash wallet, enter a positive amount and supply the required reason. Removing cash cannot take a wallet below zero. Record movement saves an adjustment in Cash flows. This independent example removes 10.00 USD from 74.00 USD for Cash moved to the safe, leaving 64.00 USD. It does not create an order or change digital income. Mid or above and manage permission are required.

Counting and closing a shift

Enter the physical cash count for every wallet and review differences. Open Register funds and choose Count cash & close shift. Counted cash is required for every wallet, in its own currency. Enter what is actually present; do not include card or ABA income in cash counts. Cancel leaves the shift open. Close shift saves the counts. Open Register history to review the closed shift: this example expects 64.00 USD but counts 63.00, a difference of −1.00 USD; KHR counts match. Closing an existing shift remains available after a downgrade, with manage permission. Closed shifts are read-only.

Reviewing register history

Inspect completed shifts, closing differences, digital income and cash flows. From Register funds, choose Register history and use Shift to select one of the current cashier’s completed shifts, most recent first. Current register contains the active shift; completed shifts remain available for review after a downgrade. Each closed shift shows wallet balances, fixed rates, counted cash and differences. Review Digital income by source for Income, Refunds, Net income and sale counts; Cash flows lists opening funds, cash sales, cash refunds and adjustments. Historical shifts cannot be edited.

Recording digital income in a shift

Record a received ABA payment and review income separately from cash. Check that your shift is active, return to the sale and choose an enabled digital payment method such as ABA / KHQR. Confirm the full amount arrived in your receiving account, then record payment received. The illustration does not charge a customer or process a real transfer. The new paid POS sale is recorded under Digital income by source in the store’s main currency. This example records 24.00 USD ABA income, 0.00 refunds and 24.00 net income for one sale. Cash wallets stay unchanged at 74.00 USD and 200000 KHR; digital payments and refunds do not move physical cash.
