Team

Team management

Invite people, choose store roles, review invitations and manage team access within the account seat allowance.

Invite a person

  1. Open Team

Open Team as a store Admin. Managers and Viewers cannot manage the team. The creator is shown as Owner · Admin.

  2. Check the available seats

This fictional store has two of three seats in use. The creator and each unexpired pending invitation use one seat.

  3. Review Invite a person

Invite a person has Email address, Role and Send invitation. A new invitation defaults to Viewer.

  4. Enter the recipient’s email

Enter lina@example.com. The person must use the account with this email address to accept the invitation.

  5. Check the email address

Check the address before sending. The app trims the address and stores it in lowercase.

  6. Open Role

The choices are Admin, Manager and Viewer. Store roles apply to this store, not to platform administration.

  7. Choose Manager

Choose Manager for someone who will run the store. Admins also manage people and sensitive settings; Viewers can read and export content.

  8. Review the selected role

Check Manager before sending the invitation. The person has no store access until they accept.

  9. Send invitation

Choose Send invitation. The saved invitation reserves a seat; sending the email and accepting the invitation are separate steps.

  10. Review the pending invitation

The Invitations row shows manager · pending, its expiry date and email status. Three of three seats are now in use. The recipient is not in People yet.

  11. Recipient opens Store invitations

The recipient signs in using lina@example.com and opens the invitation email or Store invitations in their stores page. The invitation lasts seven days.

  12. Recipient accepts the invitation

The recipient chooses Accept invitation. Decline would reject the invitation and release its reserved seat.

  13. Review the acceptance message

The recipient sees Invitation accepted. The store is now available in your stores. This action does not create a new store.

  14. Find the person in People

Back in Team, Lina is a Manager in People. The pending invitation is gone. Acceptance exchanges the reserved invitation seat for membership, so usage stays three of three.

Team features

Change a member’s role

Adjust an existing membership with browser confirmation. Admins manage Team and sensitive settings. Managers run the store; Viewers can read and export content. Store roles do not grant platform administration. Only Admins can open Team and change roles. The owner stays Owner · Admin and cannot be removed. Changing a role does not use another seat.

Manage invitation emails and expiry

Resend a saved invitation or revoke its reserved access. An invitation can be pending even when its email failed. Use Resend email for the same invitation after the one-minute cooldown. Resending keeps its original seven-day expiry and reserved seat. Pending invitations offer Resend email and Revoke. Expired invitations do not reserve a seat and require a new invitation. Accepted, declined and revoked invitations disappear from the Team invitation list.

Remove a person

End one person’s access to this store. Admins can remove a non-owner member after browser confirmation. Removing a membership does not delete the person’s account or the store’s business records. The owner cannot be removed. The example removes Dara while preserving Lina and the owner, then reviews the reduced seat usage.

Resolve a seat allowance

Choose which people and invitations keep access. The allowance counts the owner, other members and unexpired pending invitations. Mid normally has three seats, Max five, and Enterprise uses its configured allowance; your actual limit is shown in Team. At the limit, invitations are disabled. Above the limit, the owner keeps working and other Admins can manage Team; other members are paused. Keep selected people removes unselected members and revokes unselected invitations after confirmation.

Review previous access

Invite or dismiss previous assignments as the owner. Only the actual owner sees Review previous access when there are unreviewed older assignments. Those assignments do not automatically grant access. Choose Admin, Manager or Viewer and Invite to create a normal pending invitation, subject to the allowance. Dismiss closes the review without granting access.
