Create and manage orders

Create an order from the Orders page and explore viewing, editing, invoices, payment and delivery status, receipts, cancellation, refunds and deletion.

Create your first order

  1. Open Create order

Open Orders in your store and choose Create order. This opens the manual order form, where you can add customer, item, payment and delivery details.

  2. Review the order form

The form groups Who is this order for?, Add products, Payment and delivery, VAT, Discount, and Address and notes. Order summary shows the total and Create order action.

  3. Choose a customer

In Existing customer, choose Search by name, phone, or email. The form starts with Walk-in customer, which you can keep when no saved customer is needed.

  4. Find the saved customer

Search customers by name, phone number or email. This example finds the fictional saved customer Sophea Lim.

  5. Select the matching customer

Check the name and phone number before selecting the customer. Quick customer can create a customer with a name and optional phone number when needed.

  6. Check the selected customer

Sophea Lim is now selected for this order. Choose Use walk-in customer to switch back to an anonymous customer without personal details.

  7. Find an item to add

Choose Search products by name or SKU. Scan can find a product by SKU; Custom item is available for a separately entered item name, price and quantity.

  8. Search the product catalog

In Add products, search for a product name, SKU or variant name. Each available variant appears in its own row.

  9. Add the correct variant

Check the product, Default variant, price and stock, then choose Add on that row. Each click adds one unit, up to the available stock.

  10. Return to your order

Choose Done when you have added the items you need. The selected product is now listed in the order form.

  11. Set the ordered quantity

Use the plus and minus controls or quantity field. This example orders two mugs at 12.00 USD each, for 24.00 USD. Quantity must be a whole number of at least one and cannot exceed available stock.

  12. Open the payment methods

Open Payment method to see your store’s enabled checkout methods. A method describes how payment will be received; it does not collect or verify payment.

  13. Select Cash

Choose Cash from the payment method dropdown for this example. Selecting it does not collect payment.

  14. Open the payment statuses

Open Payment status to review Unpaid and Paid. Keep outstanding payments Unpaid; choose Paid only after you have received payment.

  15. Keep payment Unpaid

Choose Unpaid from the dropdown while payment is outstanding. This order will be saved without collecting payment.

  16. Open the delivery methods

Open Delivery method to change Free delivery to Customer pickup. Other choices include configured delivery methods and Custom delivery.

  17. Choose customer pickup

Select Customer pickup from the dropdown when the customer will collect the order.

  18. Check the delivery fee

Customer pickup and Free delivery lock Delivery fee to zero. Other delivery fees must be zero or more. A custom method also needs a name and duration.

  19. Open the delivery statuses

Open Delivery status to review Pending, Confirmed, Processing, Out for delivery and Delivered. Saving the order does not mean it has been delivered.

  20. Keep the delivery status Pending

Select Pending from the dropdown while you prepare the order. Update the status later when it reflects what has happened.

  21. Open the VAT settings

Open VAT setting to review Company default, VAT inclusive and VAT exclusive. The setting controls how configured tax is included.

  22. Use the company VAT setting

Select Company default to use your store’s tax settings. This sample store has no tax applied, so tax is 0.00 USD.

  23. Review the optional discount

Add discount opens the optional discount settings. You can leave the order without a discount, as in this example.

  24. Open the discount choices

Open Discount type to review Percentage, Fixed amount or Discount code. A discount code must finish checking and be applied, or be cleared, before saving.

  25. Select a percentage discount

Choose Percentage (%) from the dropdown. Percentage must be between zero and 100; this example keeps zero and then cancels the optional discount.

  26. Continue without a discount

Choose Cancel to keep the previous discount settings. This sample leaves the discount at zero. Apply discount would keep a valid discount choice.

  27. Review the optional address

Customer pickup can continue without a delivery address. Add Google Map lets you place a pin; Add address opens address details. When you add an address, provide a map pin or street address before saving it.

  28. Open Google Maps

Choose Add Google Map to open the location picker in the order form. Adding a pin is optional for a pickup order.

  29. Search for a location

Enter a place or address in Search Google Maps. This example searches for BKK 1, Phnom Penh.

  30. Find matching places

Choose Search, then review the matching place before selecting it.

  31. Place the map pin

Select the matching result to place a pin on Google Maps. You can also click the map or drag the pin to adjust it.

  32. Use your current location

Choose Use my location to use your device’s current position. Allow location access in your browser when asked. Use this option only when you are at the intended location.

  33. Wait for your location

Finding location… appears while the device locates you. If location access is unavailable, allow access or select a point on the map. This animation uses sample coordinates.

  34. Check your current position

The map moves to the current position and updates the pin and coordinates. Current location adds a map position; it does not automatically fill in a street address.

  35. Review the location before continuing

Check the pin before continuing. Drag it to adjust, choose Remove pin to clear it, or open the saved position in Google Maps. The location is saved with Create order.

  36. Add an optional order note

Use Order notes for delivery instructions or internal notes. This example records that the customer will collect tomorrow. Address and notes can be left empty.

  37. Check Order summary

Review Sophea Lim, one product with two units, the subtotal, VAT, delivery fee and total. This unpaid pickup order totals 24.00 USD with no tax, discount or delivery fee.

  38. Create the order

Choose Create order once all details are correct. A customer name or Walk-in customer and at least one valid item are needed. Creating the order does not collect payment.

  39. Wait for saving

Saving… appears while the order is created. If validation or saving fails, review the message and correct the form before trying again.

  40. Review the saved order

The saved order details open after creation. Confirm that Payment status is Unpaid, Delivery status is Pending, Customer pickup is selected, and the total is correct.

Managing orders

Order row actions

Find the available actions on an order row or card. The three-dot menu contains View order, Edit order, View invoice and Delete order. The detail page also provides the receipt, payment and delivery controls, history and paid-order refund tools.

Viewing orders

Review the saved items, customer, totals, delivery, notes and history. Open the order row’s three-dot menu and choose View order. The details page brings together item quantities, payment and totals, customer information and delivery method. Order Notes appears when a note is saved. Order history shows order events and changes to payment or delivery status.

Editing orders

Update an existing order without creating another one. Open the order row’s three-dot menu and choose Edit order. Review the existing customer, products, quantities, delivery, payment settings and notes in the order form. Save changes updates the same order. Refunded orders cannot be edited, and item quantities must remain within available stock.

Invoices

Review, customize, print, download or share an order invoice. Open the order row’s three-dot menu and choose View invoice to see its customer, items, totals and payment information. Invoice Options saves document preferences such as due date, terms, notes and signature visibility. Print and Download PDF keep a copy. Share offers Make Invoice Public and a copyable link, followed by a Copied confirmation. Public access allows anyone with that link to view the document.

Delivery status

Track fulfillment separately from payment. Open the order row’s three-dot menu, choose View order, then open Delivery Status in the order details. Its choices are Pending, Confirmed, Processing, Out for delivery, Delivered and Cancelled; normal selections save immediately. Delivery progress does not prove payment was received. Cancellation has its own confirmation because it restores reserved stock.

Payment status

Record received money and keep a payment history. Open the order row’s three-dot menu, choose View order, then open Payment Status in the order details. Unpaid and Paid changes open a confirmation with an optional note and record linked ledger activity. Paid should be recorded only after receiving the money. It does not charge the customer or change delivery status; marking a payment Unpaid again also requires confirmation.

Receipts

Open and print a receipt for a saved order. Open the order row’s three-dot menu and choose View order, then View receipt. Sale receipt shows the saved customer, payment status, products and totals. Print receipt continues to the print flow, where the receipt is ready for review and printer selection. A receipt can show Unpaid, so viewing or printing it does not record payment.

Cancellation

Cancel fulfillment while keeping the order record. Open the order row’s three-dot menu and choose View order. Choose Cancelled in Delivery Status, review Cancel order?, then Confirm cancellation. The order stays saved and its reserved stock is restored. Canceling fulfillment does not refund received money. A paid order’s refund must be processed separately.

Refunds and returns

Record a full refund or return for a paid order. Open the Paid order row’s three-dot menu and choose View order. In the details, open More actions and choose Process Refund. Refund keeps the item with the customer; Return means it was sent back. Both record the full order total and support an optional reason. Payment becomes Refunded, and a return also marks fulfillment Returned. Editing and status controls are locked. Stock is not automatically restored; inspect returned items and adjust stock in Products when suitable.

Deleting orders

Review the consequences before permanently removing an order. Open the order row’s three-dot menu and choose Delete order. Review the selected order and confirm to remove it and its items; Cancel keeps it. Deletion releases remaining inventory reservations. Deleting a Paid order records a cancellation transaction; it does not automatically transfer money back to a customer. The illustrated example is Unpaid and makes no real changes.
